Questions about your data? Email hello@cityslim.be.
Our role
- Our website and our own customer relationships: we decide what data we handle and why, which makes us the data controller.
- The platform: the courier company using CitySlim decides what data goes in and what it’s used for. That company is the data controller, and we process the data on its behalf.
If you’re a courier or a delivery recipient, please contact the courier company first. If you’re not sure who to ask, just email us.
On our website
Contact form. We ask for your name, email address and message, and optionally your company, phone number and country. The language of the page is sent along too. We only use these details to reply to you, based on our legitimate interest in answering questions, or because you’re asking for information ahead of a possible contract.
Preventing abuse. To limit spam, we keep your IP address in our server’s memory for up to an hour.
Statistics. We measure visits with Cloudflare Web Analytics, which works without cookies and without personal profiles.
Cookies. If you choose a language, we remember it in a functional cookie (cs_lang_nl or cs_lang_en) for up to a year. We don’t use tracking or advertising cookies.
Hosting. Our website runs on Netlify, which, like any web host, handles technical data such as your IP address to serve the page. The website’s fonts load from our own site, not from Google.
In the platform
| Who | What data | What for |
|---|---|---|
| Users (dispatchers, clients) | Name, email, phone, company, role, login details | Giving access, managing rides and orders, support |
| Couriers | Name, contact details, shifts, rides, location | Planning and following rides, calculating ETAs, proving delivery |
| Recipients | Name, address, phone, email, delivery preferences, note for the courier, proof of delivery (name, signature, photo) | Delivering parcels, sending ETA messages, proving delivery |
| Everyone | IP address, technical logs, device or browser type | Security, troubleshooting, keeping the service running |
Courier location. While you’re logged in to the driver app, it sends your position about every 30 seconds. The app only asks for location access while in use, not in the background. This stops when you log out.
Camera and phone. The app uses your camera for barcodes and delivery photos, and your phone to call a recipient or dispatch. Photos are only taken with the camera; the app doesn’t read your photo library.
The platform handles this data to perform the contract with the courier company, and based on that company’s legitimate interest in running deliveries properly.
Who else handles your data
We don’t sell personal data or share it for marketing. We do work with these service providers, who only act on our instructions:

When data leaves the European Economic Area, we make sure appropriate safeguards are in place, such as the European Commission’s standard contractual clauses or the EU-US Data Privacy Framework. We also pass on data when the law requires us to.
How long we keep data
- Contact form messages: up to 2 years, unless the contact leads to a customer relationship.
- Platform data: for as long as the contract with the courier company runs and it needs the data, and after that for as long as the law requires.
- Technical logs: for as long as they’re needed for security and troubleshooting.
- Backups: daily backups for 31 to 90 days, monthly backups for longer, until they’re cleared out once a year.
Security
We take appropriate technical and organisational measures to protect your data, such as restricted access, a shielded server and encrypted connections. Nobody can guarantee complete security, but if a data breach occurs we’ll act as the law requires.
Your rights
You can ask to see, correct or delete your data. You can also ask us to restrict how it’s used, ask to transfer it, or object. If you’ve given consent, you can withdraw it at any time.
To do so, email hello@cityslim.be. If it concerns data in the platform, we’ll pass your request to the courier company or help it respond.
If you’re unhappy with how we handle your data, you can complain to the Belgian Data Protection Authority.
Changes
If we change anything in this notice, we’ll update it here and show the new date at the top.
